Information on how to manage financial information.

This tutorial shows you how to view and enter financial information.

Note that before financial information can be entered, financial information in the application such as account codes needs to have been added by your organisation. If you have responsibility for the application’s overall configuration, see Tuning the Finances for how to do this.

Resource expenditure

There are two methods of tracking resource expenditure:

  • Using the resource allocation and/or time recording functions in our application to track resource expenditure (Legend Resourcing)
  • Adding additional resource expenditure either manually or via financial import from your organisation’s financial management information system (Other Resourcing)

Both methods can be used together. For example you may want to track your internal people’s resource expenditure using our application’s resource allocation and time recording functionality. If you have contractors who invoice you for their time, you might want to track their resource expenditure manually or via financial import.

Legend Resourcing expenditure

When you use resource allocation and/or time recording, resource expenditure is calculated automatically using:

  • Hourly rates
  • Resource allocations added to tasks or initiatives
  • Approved time from timesheets.

Actual resource expenditure is calculated from approved time from timesheets and hourly rates. Forecast resource expenditure is calculated from resource allocations and hourly rates.

There are two options for tracking budget expenditure. Budget expenditure can either be:

  • Populated from the forecast data
  • Added manually or via financial import.

Legend resourcing expenditure shows under the following resource accounts:

  • Operational Expenditure (Resource)
  • Capital Expenditure (Resource)

When you expand one of these accounts on the Table view of the Finance tab, you will see a heading called ‘Legend Resourcing (OPEX)’ or ‘Legend Resourcing (CAPEX)’. To view this in more detail click on this link. At this level of detail you can also add budget information.

See the screenshots below to see how to view Legend Resourcing expenditure and edit budget information on the Table view of the Finance tab.

You can also enter Legend Resourcing budget from the Shortcuts menu. See the screen shots below.

Other Resourcing expenditure

You can add other resourcing expenditure either manually or via financial import.

See the screenshots below for how to enter other resourcing expenditure manually.

To import resourcing expenditure, see Import Financial Information.

Non Resource financials

You can view and enter non resource financial information manually or via financial import.

See the screenshots below for how to enter non resource financials manually.

To import non resourcing expenditure, see Import Financial Information.
